ASSISTANT SITE MANAGER (Walter Reed National Military Medical Center)

Qualifications:

The Assistant Site Manager (ASM) reports directly to the Site Manager (SM). The responsibility of the Assistant Site Manger is as follows:

Assistant Site Manger must be a certified Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT), or Certified Professional Coder (CPC), Certified Coding Specialist (CCS) with a current coding credential from either the American Health Information Management Association (AHIMA) or the American Academy of Professional Coders (AAPC).

Must have at least 2 years of Management experience in a hospital or medical office setting, with at least 5 years DoD and/or civilian medical coding experience.

Professionalism must be always exhibited.

Clear and precise verbal and oral communication are always required.

Job Responsibility:

The Assisting Site Manager will serve as the Acting Site Manager when the Site Manager is not available.
Assistance Site Manger is required to be on site 5 days per week, 40 hours per week.
The Assistant Site Manager will code as needed, based on the instruction of the Contract Manager and current coding needs.
The Assistant Site Manager shall aid the Site Manager with the Maintenance of the following tasker for all contract coders:

  • Assist to ensure all identified coding errors will be recoded within 3 business days of notification.
  • Assist with review of site audits and rebuttals weekly as needed by the Site Manager.
  • Prepare weekly and monthly productivity reports.
  • Respond to coding resource inquiries by physicians regarding number of RVUs captured, workload, etc.
  • Completion of required Trainings for the site coding staff and remote.
  • Assist with yearly employee evaluations.
  • Responsible for reporting and ensuring all coders’ credentials are current and up to date.
  • Review Monthly Audits in conjunction with Site Manager to ensure timely education and feedback is provided.
  • Assist with Training and Education of all coders.
  • Assisting coders with daily work.
  • Track System issues, report to the Site Manager and the Program Manager.
  • Assist with submission of Payroll when site manager is unavailable.
  • Assist with the generation of all Reports and other related requested reports from the MTF and IMS as directed.
  • Assist with compliance of all record encounter types and other time-based coding metrics.
  • Daily huddles with Site Manager and Team Leads to ensure or negate any issues or concerns of the PAD/MTF.

Participation in the IMS/COR/PAD Leadership meetings.
Attendance of 75% of Organizational Meetings and 100% participation in absence of Site Manager.
All other duties as assigned.

Job Responsibilities:

Monthly Status Report (MSR). The Assistant Site Manager will assist the Site Manager to electronically submit a monthly status report (MSR) to the Program Manager by the 5th calendar day of each month for the previous month. The MSR shall outline progress, status, risks, and problems/issues encountered to include roles and responsibilities, identify any government dependencies that are overdue which are impacting schedule and/or performance of this contract. The MSR shall include such items as a description of activities of the past month (summary of work accomplished during the month and percent complete by the MTF); schedule of activities planned and estimated date/time of completion; and a summary of the status of work initiatives and documentation updates.

The Assistant Site Manager will serve as the primary lead auditor/contact for the monthly internal audit to be given to the Program Manager and Site Manager on the 23 rd of every month to ensure 97% accuracy is maintained. The Assistant Site Manager will work with the Site Manager in developing regular training sessions on the internal audits, DHA/NCR updates, and industry coding updates.

The Assistant Site Manager will code as needed, based on the instruction of the Program Manager and/or Site Manager and to meet current coding needs.

The Assistant Site Manager will work with the coding staff along with the Site Manager daily to give correct coding guidance as required.

Other duties assigned will be at the discretion of the Program Manager, Site Manager and IMS Management.

Education:

Bachelor’s degree desired with Major coursework in Healthcare Management, English, or a related field. Required Coding certification from AHIMA or AAPC. Work experience may be adjusted for highly specialized knowledge or uniquely applicable experience.
